Dear 17³Ô¹ÏÔÚÏß Community,

As the winter holidays approach, I would like to provide details about the university’s upcoming closings, actions that need to be taken, as well as activities that will be taking place on campus during the winter break from December 23 through January 1, 2025.Ìý

Please be sure to review the important information below, as you prepare for the holiday break.Ìý

Responsibilities and Staffing During Winter Break Closing

Throughout the winter break, faculty and staff will have limited access to their offices, and only by using their 17³Ô¹ÏÔÚÏß swipe cards. Reduced heating and lighting also will be in effect, so buildings will be chilly and offices may not be conducive for work. For safety reasons, space heaters are not allowed to be used to warm facilities. Access problems may be reported to Public Safety at (202) 885-2527. Since few people are expected to be on campus during the break, please be mindful of your safety and be sure to secure your possessions.

Staff who perform essential duties should check with their supervisors regarding details about their unit’s staffing during the break. Guidance will be sent to the HR representatives in the coming days.

Students - Winter Break Housing

Residents who have applied for winter break housing will be placed in Letts Hall. Residents of Nebraska Hall and the university-leased units at the Frequency Apartments, who have completed a Winter Break Housing Application, are permitted to remain in their rooms during winter break. All other residence halls will remain closed. The residence halls close officially at noon on Sunday, Dec. 15 (noon on Monday, Dec. 16 for approved extended stay residents, including graduating seniors) and reopen on Friday, Jan. 10, 2025 at 9 a.m.

Move-in for the 2025 spring semester will begin for approved groups, including new first-year and transfer students participating in New Student Orientation programming, as early as Wednesday, Jan. 8, and all residents are welcome back to the halls on Friday, Jan. 10. New and returning residents have received communication regarding spring semester move-in instructions.

17³Ô¹ÏÔÚÏß Kitchen (Dining)Ìý

  • Friday, Dec. 13Ìý– Meal plan ends for the fall semester. All Dining locations close at 2 p.m., except for Subway and Eagles Express which will both close at 6 p.m.Ìý
  • Saturday and Sunday, Dec. 14 and 15Ìý– Eagles Express will remain open 7 a.m. to 4 p.m.
  • Sunday, Dec. 15Ìý– Starbucks will remain open 7 a.m. to 2 p.m.
  • Sunday, Jan. 12, 2025Ìý– Starbucks, Subway, Eagles Express, and TDR will reopen. Please checkÌýÌýfor hours.
  • Monday, Jan. 13, 2025Ìý– All other dining locations will re-open.

Payroll Deadlines and Holiday PayÌý

Full-time employees will receive holiday pay for their regularly scheduled workdays that fall on and between December 23 and January 1, 2025. The last paycheck in 2024 will be dated December 27 for biweekly employees and December 31 for monthly employees.Ìý

Managers and biweekly employees who are taking time off prior to or immediately after the winter break holiday should coordinate their time entry and approval to avoid delays in payment. Biweekly employees who miss the time entry submission due dates may have to wait until the week of January 6 to be paid.

Biweekly (Hourly) EmployeesÌýand Managers: Due Dates

For the November 23 – December 6 pay period (payday – Friday, Dec. 13):

  • Employees must submit time by end of day, Friday, Dec. 6
  • Managers must approve time by end of day, Monday, Dec. 9
  • Time entry is locked to process payroll on Tuesday, Dec.Ìý10 and Wednesday, Dec. 11

TIME ENTRY DUE EARLYÌýfor the December 7 – 20 pay period (payday – Friday, Dec. 27)

  • Employees must estimate time through end of pay period and submit time by end of Monday, Dec. 16
  • Managers must approve time by end of day, Tuesday, Dec. 17
  • Time entry is locked to process payroll Wednesday, Dec. 18 and Thursday, Dec. 19

Facilities ManagementÌý

The following areas will undergo maintenance and construction work:

  • McDowell Hall, December 18 – January 15Ìý– Installation of air handling units will be underway. The units will be operational by the time students return for the spring semester.
  • McDowell Hall, December 17 – January 6Ìý– Shower repairs will take place.
  • Asbury Building, December 23 – January 4, 6 a.m. to 6 p.m.Ìý– As concrete vault repairs take place, power will be shut off at both Asbury and Osborn during this time.
  • Anderson Hall, December 17 – January 4, 7 a.m. to 3 p.m.Ìý– Shower base repairs will take place.

Mail Services

The Mail Services Office will close early Friday, Dec. 20 and will reopen on Thursday, Jan. 2, 2025, with reduced hours. Regular hours will resume on Monday, Jan. 13. See theÌýMail ServicesÌýpage for more details.

Campus StoreÌý

The campus store will operate on reduced hours from December 16 – 20 and will close from December 21 to January 1, 2025. It will reopen on Thursday, Jan. 2 with reduced hours, and normal hours will resume on Monday, Jan. 13. A detailed schedule can be viewed on theÌýÌýpage.
